Assuring scanned data is compliant simply means that it is 100% captured during the scanning process. It is very useful in industries that routinely scan completed documents, but want data to be recorded in a field smaller than the sheet of paper used for collecting data. Often times, resources will record vital data outside of the field that is detectable during scanning.
This software compliance aide is applied directly to your paper used to document data gathered duriing qualification, validation or other sensitive data. It puts a watermarked border around the perimeter of your paper, instantaneously advising resources to not write or capture data outside of designated border.
Many GxP manufacturers will scan reviewable original data. In the pharmaceutical or bio-tech industries, scanned data are often shared with auditors during an audit. This will permit review of the scanned document–sheet, page, report, package–while the original is kept safe in the manufacturer’s repository. Having worked in a number of Quality Assurance Validation roles, it became evident that some of the desired data was not reproduced during scanning. Whenever the scanned page contains 100% of the original data—including all symbols, marks, print, and/or hand-written text—it is considered a True Copy of the original.
A true copy is an exact, accurate, and complete reproduction of an original document, replicating all content, signatures, and markings without alteration. Often required for legal, immigration, or academic purposes, a “certified true copy” is verified by an authorized person (e.g., notary, lawyer) who has compared it to the original.
In cases where the scanned copy is not a True Copy, the document requires re-scanning, which consumes time and resources.
This software will allow application of the compliance watermark of your choice. This watermark is to be applied to the paper taken to the field for execution. With this watermark readily visible to the executors, it will force them to make all writings or recordings inside of the water-marked area. This will prevent documenting key data outside of the field that is scannable, yielding documents where all of the data is readible, resulting in 100% True Copies.
